Responsibilities
Before Service
Check In Volunteers Only will serve 30 minutes prior to service beginning thru the first 30 minutes of the service.
Greet families with a smile to make every child’s arrival smooth and comfortable.
Point Person will serve 30 minutes prior to the service beginning thru the entire service.
During Service
New Guest Questions: For new families that need assistance, enter the parent name and phone number first. Then, add each child’s information individually.
There is a sheet in the wicker basket at the check-in station that contains a list of new guest questions. We need to make sure we ask them if the child has any of the following…
Any medical needs?
If the child has medical needs, then the parent needs to type out the medical needs in the medical needs box when filling out their child's form.
If the child has medical needs you can ask if they need to be a part of our buddy system. Only medical diagnosis will be offered to be a part of the buddy system, like seizures, autism, etc. If they qualify, then hand them a buddy form to fill out at Church and turn in or fill out and bring back the next Sunday they come. Once we have the form we can provide a buddy.
Any allergies? We offer cheerios and goldfish in the Toddler and Pre-k room only.
Can the children be photographed?
If NO, then assist the parents to check the “no photography” box when they sign in to print off their tag for the first time. Once this box is checked it will remain checked; it is not something the parents have to click each time. The parent can check the printed tag to be sure the tag reflects correctly.
For returning families that need assistance, you can access their family household profile via Planning Center Check-Ins. You can edit any individual profile in our database.
If a family needs to remove anyone from their household profile (extended family, old friends, etc) or merge a duplicate profile please notify the Children’s Pastor. This information has to be edited on a computer.
Count Sheet: 30 minutes after service starts the Check In volunteer will walk around and gather the official headcount of the children’s area including themselves and other volunteers. Each service requires a full headcount. Please communicate with your children’s pastor on how to turn this number in.
Shutdown Stations:
FIRST SERVICE: 30 minutes after service starts you will put the display to auto lock after 2 minutes, this will close check in for first service.
If parents arrive after Check-In is closed, they will be encouraged to come back next week but cannot come into the class without a name tag. Please contact your pastor if you have any issues with this procedure.
SECOND SERVICE: Point Person, 30 minutes after service starts you will take only the ipads and printers and place them in the appropriate locations.
The Ipad and printer on the pedestal table will be placed on the pedestal table in the Toddler room - you do not have to plug it in.
The 2 ipads and printers on the rectangle table will be placed on the white table in the adult ministries closet.
*Please keep the ipad and the printer with the coordinating dots together - they are a happy pair.
Point Person: Is available the entire service to help with all needs and will carry a colored walkie to be contacted.
Point person offers help with Bathroom assistance, buddy, sub, extra help, help with children that are upset, etc.
If all the rooms are steady then please land in the elementary room to be an assistant. So many kids have to run to the bathroom the entire class time.
Additional Policies and Procedures
Diaper Changing Policy - Only an adult woman (18 yrs+) can change diapers.
Crying Policy - If a baby cries for 10 minutes, or is inconsolable, please use the number on their tag to contact the parent. Simply text, (“Hi this is (NAME), you are needed in the nursery.”) If there is no response, then call. If there is still no response let a children’s pastor know so they can locate the parent.
No child can be taken out of the room by a volunteer.
